Privacy policy

Circuit Proof is a workspace for electrical compliance records. This policy explains what personal information we collect, why we use it, and the choices available to you.

The short version

We use your information to provide and protect Circuit Proof. We do not sell personal information or use it for third-party advertising.

Who we are

Circuit Proof is operated by Circuit Proof Limited, New Zealand (“Circuit Proof”, “we”, “us”, or “our”). This policy applies to the CircuitProof Android app, our website and web portal, and related support and services.

Information we collect

Account and professional information

When you create or use an account, we may collect your name, email address, phone number, organisation, role, profile photo, signature, electrical worker or inspector licence details, and account credentials. Passwords are handled by our authentication provider and are not visible to Circuit Proof.

Work and compliance records

You and your organisation may enter client and site details, installation addresses, job notes, test results, equipment and circuit information, defects, comments, certificates, records of inspection, test sheets, signatures, and other compliance documentation. These records can contain personal information about clients, workers, inspectors, property owners, or other people.

Files, photos, camera and scanning

If you choose to use these features, Circuit Proof can access the camera or files you select to capture job evidence, profile and company images, signatures, licence documents, QR codes and barcodes. We only receive items that you capture, select, or upload through the service.

Location information

With your permission, we may use your device location to help select a location or support professional matching. You can instead enter a town, region, or address. The app does not request background location access.

AI assistant information

When you use the AI assistant, we collect the questions and instructions you submit, relevant job or compliance context, the conversation history, and any photo you deliberately include. AI responses are assistance only and do not certify work or replace professional judgement.

Technical and usage information

Our service providers may automatically process technical information needed to run and secure the service, such as IP address, device or browser information, app integrity signals, request timestamps, and error or security logs. Circuit Proof does not currently use third-party advertising trackers in the Android app.

How we use information

We use personal information where reasonably necessary to:

  • create accounts, authenticate users, and manage organisation membership;
  • provide job, inspection, testing, certification, document, matching, and AI-assistant features;
  • store, generate, share, and email records at a user’s direction;
  • verify professional details and help prevent fraud or misuse;
  • provide support, communicate service information, and respond to requests;
  • secure, maintain, troubleshoot, and improve Circuit Proof; and
  • meet legal, regulatory, accounting, and compliance obligations.

If you provide information about another person, you must be authorised to do so and should ensure they understand how the information will be used.

When we share information

We may disclose information in the following circumstances:

  • Within your organisation: authorised team members can access workspace records according to their role and permissions.
  • At your direction: when you email, export, issue, or otherwise share a document or record with a client, inspector, regulator, or another recipient.
  • Service providers: providers that host, secure, process, or deliver the service, including Google Firebase and Google Cloud, OpenAI for AI-assistant requests, and email-delivery providers such as SendGrid.
  • Professional matching: if you opt in, selected professional details such as your name, business, role, town or region, contact details, verification status, and approximate distance may be shown to eligible users.
  • Legal and safety reasons: where required by law, a regulator, or legal process, or where reasonably necessary to protect people, rights, property, or the security of the service.
  • Business changes: as part of a proposed or completed merger, financing, acquisition, or sale, subject to appropriate confidentiality and privacy protections.

Some providers process information outside New Zealand. We take reasonable steps to use reputable providers and appropriate safeguards. Their own terms and privacy practices may also apply to their processing.

Storage, security and retention

We use administrative, technical, and organisational safeguards designed to protect information from loss, misuse, and unauthorised access. No internet service can be guaranteed completely secure, so you should protect your login details and promptly tell us about suspected unauthorised access.

We retain information for as long as needed to provide the service, meet contractual and legal obligations, resolve disputes, maintain electrical compliance and business records, and protect the service. Retention periods vary by record type and the needs of the organisation that controls the workspace.

Deleting a personal account removes the account and personal profile information we are able to delete through that process. Job, certification, audit, and compliance records created in an organisation workspace may remain where the organisation or law requires them to be retained. We may also keep limited records in backups or where necessary for security, fraud prevention, or legal compliance.

Your choices and rights

You can update much of your profile information in Circuit Proof. Device settings let you withdraw camera or location permission, although the related features may then be unavailable. Professional matching is optional and can be disabled.

You can request account deletion from within the app. You may also contact us to ask for access to, or correction of, personal information we hold about you. We may need to verify your identity and may be unable to delete information that must lawfully be retained or that is controlled by your organisation.

Children’s privacy

Circuit Proof is a professional and business service and is not directed to children. We do not knowingly collect personal information from children without appropriate authorisation.

Changes to this policy

We may update this policy as Circuit Proof changes. We will publish the updated policy here and change the effective date. If a change is significant, we may also notify account holders through the service or by email.
